Payment policy

The credit card details mentioned in your booking will be used for the guarantee and payment will be made at the hotel upon arrival, during your stay or upon check-out. Should you wish to pay a deposit, we kindly ask you to contact the hotel directly after 2 April 2017 and refer to your booking made through RAI Hotel Services.

Guarantee policy

Valid credit card details are required to guarantee your booking; in case of cancellation or no show, your card will be charged. Your credit card will therefore be authorised for the full stay prior to your arrival, which will have consequences on your card limit. If the authorisation fails, your booking will not be guaranteed and you will be informed accordingly. The final hotel bill will be settled in the hotel during your stay.

Cancellation policy

Notification of cancellations should always be made directly to the RAI Hotel Services and can only be accepted in writing or online. Cancellations should be received before 16:00 (CET) 2 days prior to arrival. Cancellations of bookings with arrival on Monday or Tuesday should be received by Friday before 16:00 (CET). For cancellations and no-shows within that period, the hotel is entitled to charge the full stay. In case of no-show, your room will be cancelled at 12:00 (noon) the following day.

Please note that a different cancellation policy applies for Okura Hotel Amsterdam.

Cancellations should be received before 16:00 (CET) 7 days prior to arrival. For cancellations and no-shows within that period, the Okura Hotel Amsterdam is entitled to charge the full stay.

Modification policy

Notification of modifications should always be made directly to the RAI Hotel Services and can only be accepted in writing or online. Modifications on bookings with arrival during the weekend or on Monday can only be processed if received before Friday 16:00 (CET). If you do not check-in on the above mentioned arrival date, without written notification, the hotel is entitled to charge a no-show fee. When checking out before the confirmed departure date, the hotel is entitled to make an additional charge.

All other conditions are in conformity with the Dutch Uniform Conditions of the Hotel Industry (UVH).

Group booking policy

Conditions are based on the chosen type of agreement:

Payment conditions “BB contract” *

* A BB contract is a bed and breakfast contract: breakfast and local city tax are included.

  • The company will guarantee payment of the overnight accommodation including local city tax and breakfast.
  • Three months prior to the event, the total amount paid should equal 25% of the total amount due.
  • Two months prior to the event, the total amount paid should equal 50% of the total amount due.
  • One month prior to the event, the final amount due is requested.
  • After the event and after receipt of all hotel invoices, RAI Hotel Services will send you the final invoice with breakdown.
  • All invoices need to be paid in full. In case the total booking value has changed and affects the amount due, it will be corrected in the following invoice.
  • All additional charges have to be paid by the guests upon departure.

Payment conditions “COA contract” **

** A COA contract (clients on account consists of a 25% deposit). Delegates will pay the room, breakfast and local city tax upon check-out. The deposit will be retained in order to cover late cancellation and no show.

  • To guarantee the reservations, you are requested to pay a deposit covering 25% of the total booking amount. The total amount due is requested three months prior to the event.
  • All invoices need to be paid in full. In case the total booking value has changed and affects the amount due, it will be corrected in the following invoice.
  • All costs of the hotel room, local city tax, breakfast and any additional charges will be paid directly by the guest upon departure.

Reservation policy:

  • The final rooming list mentioning the name of the guest, reserved hotel, the room type, arrival and departure dates must be received at the latest 6 weeks before the event.
  • In case of a no-show on the confirmed arrival date, the hotel will keep the room available for arrival next day. The hotel is entitled to charge no show or late cancellation fees as per the cancellation conditions.
  • Changes on bookings with arrival during the weekend or on Monday can only be processed if received before Friday 16:00 (CET).

Cancellation policy:

In conformity with Uniform Conditions of the Hotel Industry (UVH) the following cancellation conditions apply:

  • Cancellation more than 3 months prior to the first arrival date: no charge
  • Cancellation less than 3 months prior to the first arrival date: 15% of the total accommodation amount charged
  • Cancellation less than 2 months prior to the first arrival date: 35% of the total accommodation amount charged
  • Cancellation less than 1 month prior to the first arrival date: 60% of the total accommodation amount charged
  • Cancellation less than 2 weeks prior to the first arrival date: 85% of the total accommodation amount charged
  • Cancellation less than 1 week prior to the first arrival date: 100% of the total accommodation amount charged

The total accommodation amount equals the number of rooms X the number of nights reserved.

All other conditions are in conformity with the Dutch Uniform Conditions of the Hotel Industry (UVH)
